GK College of Business, Arts, and Technology Effective Date: November 1, 2026
1. General Policy
GK College of Business, Arts, and Technology ("GK College," "the College," "we," "our," or "us") is committed to providing accessible, flexible, and quality education through its degree and non-degree academic programs.
This policy establishes the terms governing enrollment, tuition assessment, down payments, installment arrangements, withdrawal, cancellation, academic program transfers, digital learning materials, outstanding financial obligations, and refunds.
By completing enrollment, students acknowledge the academic and financial responsibilities associated with their chosen program, subject to applicable Philippine laws, Commission on Higher Education (CHED) regulations, and duly adopted institutional policies.
2. Scope of Coverage
This policy applies to students enrolled in the following programs:
2.1 CHED-Recognized Degree Programs
- Bachelor of Fine Arts (BFA), Major in Painting
- Bachelor of Multimedia Arts (BMA), Major in Film and Video
- Bachelor of Science in Information Systems (BSIS), Cybersecurity Track
2.2 Non-Degree and Special Programs
- Two-Year Fine Arts Program
- Certificate and short-term educational programs
- Art workshops and specialized training
- Online and self-paced learning programs
- Other non-degree educational offerings administered by GK College
Non-degree programs may be governed by separate enrollment and refund conditions disclosed before payment.
3. Enrollment Confirmation and Financial Commitment
3.1 Official Enrollment
A student shall be considered officially enrolled upon completion of the applicable admission requirements, acceptance by the College, and confirmation of the required enrollment payment or approved payment arrangement.
3.2 Total Assessed Tuition and Fees
Upon enrollment, the College shall provide the student with an assessment indicating the total tuition, miscellaneous fees, and other applicable charges for the academic term.
The total assessed amount represents the student's financial obligation for the term, subject to applicable withdrawal, refund, adjustment, and scholarship provisions.
3.3 Enrollment Down Payment
GK College may allow students to enroll by paying an initial down payment, subject to the approved payment arrangement.
The enrollment down payment is only a partial payment toward the total assessed tuition and other school fees. It does not represent the full cost of enrollment or the maximum amount payable by the student.
Payment of a minimal down payment does not automatically limit the student's financial responsibility to the amount initially paid.
3.4 Acceptance of Financial Obligations
By confirming enrollment, the student acknowledges the total assessed tuition and fees and agrees to comply with the applicable payment schedule.
Any remaining balance shall be subject to the College's duly adopted financial policies and applicable laws.
4. Tuition Installment Arrangements
4.1 Payment Schedule
GK College may offer installment arrangements to make education more accessible.
Installment schedules may include:
- Initial enrollment down payment
- Prelim examination payment
- Midterm examination payment
- Final examination payment
The specific payment amounts and deadlines shall be reflected in the student's assessment or approved payment arrangement.
4.2 Installment Payments Do Not Reduce Total Tuition
An installment arrangement is a payment accommodation and does not, by itself, reduce the total assessed tuition and other applicable school fees.
Students remain responsible for the amount lawfully chargeable under their enrollment agreement and applicable withdrawal rules.
4.3 Failure to Pay
Students who fail to settle scheduled installments may receive payment reminders and statements of account.
Any administrative action relating to unpaid balances shall comply with applicable CHED regulations and Philippine law.
5. Official Withdrawal and Refund Assessment
5.1 Written Withdrawal Requirement
Students who intend to withdraw from the College must submit a formal written request to the Office of the Registrar.
The effective withdrawal date for financial assessment shall ordinarily be the date the College receives the written request, subject to applicable regulations.
Verbal notices, prolonged absences, failure to attend classes, or failure to access online learning platforms do not automatically constitute official withdrawal.
5.2 Withdrawal Before Classes Begin
Students who officially withdraw before the commencement of classes may request cancellation of enrollment.
Refunds and financial adjustments shall be assessed in accordance with applicable law and the enrollment agreement.
Reasonable and previously disclosed administrative fees may be deducted where legally permitted.
5.3 Withdrawal During the First Two Weeks
For CHED-recognized degree programs, withdrawal during the first two weeks shall be assessed in accordance with applicable CHED regulations and the College's duly adopted policies.
Under the framework described in Section 100 of the Manual of Regulations for Private Higher Education, qualifying withdrawals may be subject to the following charges:
| Withdrawal Period | Applicable Charge Under the Stated Framework |
|---|---|
| During the first week of classes | 25% of the total fees for the term |
| During the second week of classes | 50% of the total fees for the term |
Important: The above percentages are subject to the conditions and qualifications of the governing CHED provision, including those concerning the student's payment status. They do not automatically apply to every student who has paid only a minimal down payment.
The College shall assess each withdrawal according to the applicable regulation, enrollment agreement, and duly adopted institutional policy.
5.4 Withdrawal After the Second Week
Students who officially withdraw after the second week of classes may be charged the full assessed tuition and other applicable school fees for the academic term, regardless of whether they initially paid in full or enrolled through an installment arrangement.
This provision shall apply only to the extent permitted by governing CHED regulations and the College's duly adopted policies.
5.5 Outstanding Balance Upon Withdrawal
When the amount already paid by the student is less than the amount lawfully chargeable upon withdrawal, the student shall remain responsible for the outstanding balance.
The outstanding balance shall be computed as follows:
Outstanding Balance = Lawfully Chargeable Fees − Payments Already Made − Applicable Credits or Adjustments
The College may issue a final statement of account reflecting the student's remaining financial obligation.
5.6 Illustrative Tuition Assessment
For illustration, assume a student has the following assessment:
| Description | Amount |
|---|---|
| Total Assessed Tuition and Fees | ₱30,000 |
| Initial Down Payment | ₱5,000 |
| Remaining Balance Before Withdrawal | ₱25,000 |
If the student officially withdraws after the second week of classes and the full-term charge is applicable, the assessment shall be:
| Description | Amount |
|---|---|
| Chargeable Tuition and Fees | ₱30,000 |
| Less: Down Payment | ₱5,000 |
| Outstanding Balance | ₱25,000 |
Accordingly, the student may still be required to settle the remaining ₱25,000, subject to applicable law and any approved adjustments.
The student's financial obligation is determined by the amount lawfully chargeable for the academic term, not merely by the amount of the initial down payment.
This illustration does not establish that full-term charges apply in every withdrawal case.
6. Nonattendance, Inactivity, and Discontinuation
6.1 Nonattendance
Failure to attend scheduled classes, participate in online learning activities, access the Learning Management System, or submit academic requirements does not automatically cancel enrollment.
6.2 Financial Obligations
Students who voluntarily stop attending without officially withdrawing may remain responsible for the tuition and other fees lawfully chargeable under their enrollment agreement.
6.3 Official Notification
Students are encouraged to notify the Office of the Registrar immediately if they intend to discontinue their studies.
Delays in submitting a withdrawal request may affect the applicable financial assessment.
7. Dropping Individual Subjects
Students who wish to drop individual subjects must submit the appropriate request through the Office of the Registrar.
Dropping requests shall be evaluated based on the College's academic calendar, applicable deadlines, and academic regulations.
Dropping a subject does not automatically entitle a student to a tuition refund.
Any financial adjustment shall be determined according to the applicable institutional policy and governing regulations.
8. Leave of Absence
Students who intend to temporarily discontinue their studies may apply for a Leave of Absence (LOA), subject to the College's academic policies.
An approved LOA does not automatically cancel financial obligations already incurred for the academic term.
Any refund or adjustment shall be evaluated according to the applicable withdrawal rules.
9. Non-Degree and Two-Year Fine Arts Programs
9.1 Coverage
This section applies to the Two-Year Fine Arts Program and other non-degree educational offerings administered by GK College.
These programs are separate from the College's CHED-recognized degree programs.
9.2 Enrollment and Payment
Enrollment shall be confirmed upon completion of the applicable registration requirements and payment arrangements.
9.3 Withdrawal Before Program Commencement
Participants who withdraw before instruction begins or learning access is provided may request a refund, subject to reasonable, previously disclosed, and legally permissible administrative charges.
9.4 Withdrawal After Program Commencement
Once instruction has commenced or learning access has been activated, refunds shall be assessed based on services already delivered, applicable program terms, and governing consumer protection requirements.
Voluntary discontinuation or failure to complete the program does not automatically entitle the participant to a full refund.
9.5 Installment Obligations
Participants enrolled under installment arrangements remain responsible for amounts lawfully chargeable under the applicable enrollment agreement.
The initial down payment does not necessarily represent the participant's maximum financial obligation.
9.6 Program Transfers
Requests to transfer to another available learning schedule may be considered, subject to program availability and approval by the College.
9.7 Non-Degree Status
Completion of a non-degree program does not confer a CHED-recognized academic degree.
Certificates issued shall accurately identify the educational program completed.
10. Digital Learning Materials and Online Access
10.1 Digital Products
GK College may provide digital learning materials, recorded lectures, electronic manuals, downloadable resources, and other educational products.
10.2 Non-Refundable Digital Products
Separately purchased digital products shall generally be non-refundable once successfully delivered, activated, or made accessible to the student, except where applicable law requires a refund or other remedy.
10.3 Learning Management System Access
Access to the College's Learning Management System, online classes, and educational resources may form part of the student's academic services.
Activation of LMS access shall not, by itself, eliminate tuition refund rights available under applicable CHED regulations.
10.4 Technical Assistance
Students experiencing technical difficulties should promptly notify the College.
GK College shall make reasonable efforts to resolve verified access issues affecting educational services.
11. Changes in Academic Schedules and Learning Delivery
GK College reserves the right to make reasonable adjustments to class schedules, faculty assignments, learning modalities, and academic arrangements due to legitimate academic or operational requirements.
Where authorized, the College may implement face-to-face, online, hybrid, HyFlex, or modular learning arrangements consistent with applicable CHED requirements.
The College shall make reasonable efforts to communicate significant academic changes through official channels.
If the College cancels a subject or program and cannot provide an appropriate alternative, affected students shall receive a lawful refund or adjustment corresponding to the undelivered educational services.
12. Shifting Programs and Transferring Schools
Students seeking to shift to another GK College program or transfer to another institution must comply with applicable academic and administrative procedures.
Any refund or outstanding financial obligation shall be determined according to the applicable withdrawal policy and governing regulations.
Requests for academic records and transfer credentials shall be processed in accordance with applicable CHED requirements.
13. Scholarships, Discounts, and Promotional Arrangements
Scholarships, tuition discounts, promotional rates, and other financial assistance shall be governed by their respective terms and conditions.
Withdrawal may affect eligibility for scholarships or discounts, subject to the applicable agreement and governing law.
Approved refunds shall take into account actual payments, scholarships, discounts, and lawful adjustments.
14. Exceptional Circumstances
GK College may consider exceptional requests involving serious illness, family emergencies, natural disasters, or other extraordinary circumstances.
Requests may require appropriate supporting documentation.
Discretionary adjustments shall be evaluated individually, without limiting mandatory rights under applicable law.
